How to save Microsoft Teams captions as a transcript on a Mac

Teams shows live captions during the call and doesn't keep them. CaptionSnap saves them as a transcript on your Mac, with each speaker's name and time.

Does Teams save live captions?

No. Microsoft's help page says “Teams doesn't save captions” and suggests turning on transcription for the meeting instead (Microsoft Support). Copilot in Teams meetings needs a separate Microsoft 365 Copilot license (Microsoft Learn).

CaptionSnap works with the live captions you turn on for yourself, and keeps them.

Turn on live captions in Teams

From Microsoft Support:

  1. In your meeting controls, select More actions.
  2. Select Captions.

Captions appear in the meeting window. Your organization can switch live captions off (Microsoft Learn).

Save them with CaptionSnap

  1. Install CaptionSnap. It lives in your menu bar and starts saving when captions appear.
  2. Each line is saved with the speaker's name and time, in the Teams app or in Chrome, Edge, Arc and Brave. You can read along during the call.
  3. When the call ends, the transcript is saved on your Mac.

Captions off? CaptionSnap tells you, so you can turn them on.

Without recording the meeting or a Copilot license

No bot joins the call and no audio is recorded. The meeting doesn't need to be recorded, and you don't need a Copilot license. The transcript is a plain text file in a folder you choose: copy it into an email or a doc, or paste it into any AI tool for a summary.
